Admin Assistant


Location: London

Length: 9 months

Rate: £15-20p/h

Hours: 9am-6pm


Diary support:


  • General diary support for UK Production HR Director and HRBP Director for Production, EMEA and Nordics
  • Includes booking and rescheduling meetings, booking meeting rooms, booking travel and hotels, expenses, confirming attendance at team events and away days, arranging covid tests
  • Pulling new hire reports and scheduling relevant introductions

Team support:


  • General admin support for the EMEA Production HR team
  • Arranging team meetings, creating and circulating agendas, note-taking, arranging gifts cards for team anniversaries
  • First point of contact for hotline complaints and allocating the relevant HR manager
  • Includes any ad-hoc duties as per the above diary support
  • Working closely with the team on delivering projects
  • Maintaining external vendor list

Coordinating training:


  • Scheduling training for each of our productions, working with each manager in the EMEA team and the production coordinators to arrange
  • Setting up invites with dial-in links and sharing with the relevant people
  • Arranging outside counsel and external vendor support when needed
  • Arranging crew onboarding to video-sharing platform
  • Sharing video reports with internal and external production coordinators

L&OD team support:


  • General admin support for the new L&OD team
  • Attending training sessions and assisting with set-up, tech support, facilitating breakout groups, fielding questions etc
  • Scheduling training sessions, setting up invites and sending reminders
  • Creating events on booking platform and circulating booking links
  • Creating and circulating comms



  • Processing expenses for corporate card and on behalf of HRBP Director
  • Approving outside counsel invoices on the legal tracker
  • Approving and processing vendor invoices internally
  • Raising purchase orders
  • Setting up new vendors
