Resourcing Administrator
Location: Birmingham
Length: ASAP until September 2023
Rate: £13-17 p/h
Hours: 9am – 5pm
The role provides comprehensive administrative assistance to Hiring Managers, Resourcing Business Partners and Resourcing Advisors.
The Resourcing Administrator will be responsible for a broad range of administrative tasks e.g. handling and direction of queries, acting as point of contact for the team, co-ordinating projects and activities.
Key responsibilities and accountabilities
This is a business support role which is part of a team providing administrative services to the rest of our client’s Resourcing & Talent team. Resourcing Administrators will sit within a Division or Genre focused resourcing team assisting that team to provide an efficient and compliant service.
There will be no line management or budget responsibility for this role.
- To provide a comprehensive Resourcing administrative service to a divisional/genre focused Resourcing team including managers, Senior Resourcing BP, Resourcing BPs and Resourcing Senior Advisors/Advisors.
- To use an applicant tracking system, entering data into relevant systems and ensuring data quality.
- To ensure that administrative processes are undertaken in line with policy e.g. right to work.
- To provide clear responses to any queries and requests from candidates and hiring managers. Using own discretion, share information to resolve any issues.
- To assist with interview scheduling, issuing interview packs, providing documentation to hiring managers and any other administrative tasks that are required.
- To enhance the reputation of our client’s Resourcing & Talent function through excellent service and professionalism.
- To accurately maintain People-related data, ensuring confidentiality.
- To be self- assured in answering questions, based on data and understanding of policy and process.
- To open any relevant (physical) correspondence and scan/record relevant materials.
- To prepare and send any (physical) correspondence required to complete processes in an accurate and timely fashion.
- To work collaboratively with colleagues within HR and the HR Shared Service Centre to deliver good service.
- To provide management with information, interpretation and manipulation of the data.
- To prepare documents, presentations and other material as required.
- Role will engage with our client’s hiring managers, employees and regularly meet external applicants.
Knowledge, skills, training and experience
Essential
- Ability to prioritise own workload and work to tight deadlines
- Intermediate skills in the use of a range of software packages to include Word, Excel, PowerPoint
- Excellent attention to detail and accuracy; ensures facts are correct, complete and consistent
- Ability to research information via the internet
- Ability to interact face to face with candidates and hiring managers, and communicate effectively with a range of people
- Uses standard procedures and common sense to solve problems
- Understands how to handle, resolve and escalate enquiries; passes on information promptly
- Ability to gather, interpret, collate and present information as required
Desirable
- Prior experience of working with People systems (such as SAP) and applicant tracking systems
- Prior experience of working in a resourcing function
- Basic legal, regulatory and policy parameters which guide resourcing
