Location: London
Length: Asap – 14/10/2024
Rate: £24.04 – £28.85 p/h PAYE (Approx. £50K – £60K Per annum) 
Hours: 9am-6pm

The Opportunity:
We are seeking an Administrative Assistant to support 3 Directors in the PR team, working across series, film, documentaries and unscripted content.  This role is based in our London office.

The successful candidate will be self-motivated, proactive, forward-thinking, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities with an unwavering attention to detail at all times. A high level of organisation and excellent communication skills are a must.  We need someone who can not only be great in their day to day work, but can identify opportunities to make the overall team more organised and efficient.  Someone who is curious, demonstrates significant initiative, and inherently exercises good judgement will be most successful both in the role and at the organisation. Responsibilities include:

  • Managing complex calendars for 3 Directors, including scheduling meetings, internally and externally, with multiple parties across various time zones.
  • Assisting in preparing and maintaining meeting agendas, presentation slide decks, organisational charts, and materials for new starters, etc.
  • Heavy communication, including managing the complexity of multiple teams across multiple functions (including global marketing, PR and content).
  • Organising various events, including team offsites and training sessions. 
  • Coordinating travel arrangements as required, both domestically and internationally.
  • General admin such as raising purchase orders, reconciling expenses, maintaining Google group distribution lists, circulating NDAs/contracts and consistently updating documents on behalf of the Directors and the wider team. 
  • Opportunity to help support and staff PR events / activities when needed.  
  • Working collaboratively with Assistants in our wider UK and EMEA teams.

Candidate Profile:

  • Minimum 3 years of working experience as an administrative assistant supporting at Director level or above.
  • Previous working experience in the entertainment/PR industry is preferred.
  • Motivated to develop a career in the administrative/business support field.
  • Flexible and proactive team player, comfortable operating in a fast-paced team-oriented setting.
  • Solutions-oriented attitude with a calm demeanour and optimistic perspective. 
  • Ability to be discrete and maintain confidentiality at all times.
  • Excellent organisational and time management skills.
  • Excellent attention to detail.
  • A proactive and positive thinker.
  • Strong written and verbal communication skills and the ability to multitask.
  • Ideally ‘tech-savvy’ and uses Google suite apps already in their day to day work.
  • A commitment to embrace and advocate for inclusion is essential.
